Privacy Policy

1. Information We Collect

We collect the information you give us and a limited amount of information created as you use the Service.

• Account information: your name and email address.
• Optional pronouns: only if you choose to provide them.
• Sign-in information: the one-time sign-in links and six-digit codes sent to your email address so you can access your account.
• Quiz information: if you take the quiz on our website, your name, email address, and quiz answers. Finishing the quiz creates your account and signs you in.
• Coaching-conversation content: what you share in your brand-coaching conversations. You may choose to share revenue figures, business struggles, and personal history. Please share only what you are comfortable providing.
• Submitted writing: a newsletter, sales page, or other piece of your own writing that you paste in for a voice review. The Service compares it to the brand voice you built and does not rewrite it. After a review, we keep the phrases the Service pointed out and your decision on each one, so the Service does not ask you about the same thing twice. We do not keep the rest of a draft. If you mark a piece as published, we keep that piece as an example of your brand voice until you unmark it or delete your account.
• Brand-file content: the brand-strategy content the Service builds for you.
• Payment information: we receive no payment card information. Stripe collects and processes your card details on its own systems to complete your purchase. The only payment-related information we store is a Stripe customer identifier linked to your account.

Keyboard dictation: S’Daia™ does not request access to your microphone and does not record or receive audio. If you use the dictation or voice-typing feature built into your phone, computer, or keyboard app to enter text, that feature is provided by your device or keyboard maker under your own account with them, and their terms and privacy policies apply to it. We receive only the resulting text, and we treat it the same as text you type.

2. How We Use Your Information

We use your information to:

• Create and manage your account.
• Send your one-time sign-in links and codes.
• Provide the Service and generate your brand-strategy content, including voice reviews of writing you submit.
• Process your purchases.
• Send you email about Soul Dose™ and S’Daia™, including follow-up email after you take the quiz. You can unsubscribe at any time.
• Respond to your questions and provide support.
• Secure the Service, prevent fraud and abuse, and troubleshoot problems.
• Improve how the Service works for you.

We limit our use of your identifiable coaching-conversation content and submitted writing to operating, securing, supporting, troubleshooting, and improving your use of the Service. We do not use your identifiable content for unrelated marketing, to train AI models for our own unrelated purposes, for advertising, or to sell it.

3. AI Processing of Your Conversations and Writing

To generate your brand guidance, the Service sends your conversation content and any writing you submit for voice review to Anthropic, which provides the AI model that produces the responses. Anthropic does not use the conversation content we send to train its models. Anthropic deletes that content within 30 days, except that it may keep content its automated systems identify as a possible usage policy violation for up to 2 years, and it may keep content longer where the law requires. We have not enrolled in any program that would change this.

4. Aggregate, De-Identified Analysis

Soul Dose™ may review de-identified patterns across accounts to understand recurring questions that go unanswered and to decide what to build next. This analysis does not identify you. Soul Dose™ will not attempt to re-identify data that has been de-identified for this purpose.

5. Service Providers

We share personal information with service providers that help us run the Service, only as needed for them to do their work for us:

• Anthropic provides the AI model that generates conversation responses and receives conversation content for that purpose.
• Supabase provides database storage and account sign-in and stores your account information and content, including automated daily backups kept for 7 days.
• Vercel hosts the Service.
• Stripe processes payments, receives your card details directly, and sends your purchase receipts.
• Resend sends your one-time sign-in links and other account email, and receives the email address needed to deliver those messages.
• Tally hosts the quiz on our website and receives your name, email address, and quiz answers.
• Flodesk sends our marketing email and receives your email address and the tags that decide which emails you receive.

We do not sell your personal information.

6. Retention

We keep your personal information for as long as your account is active. When you delete your account, it becomes immediately unreachable, and a scheduled job permanently deletes your account record, brand files, conversations, saved writing, and purchase records from our active systems 30 days later. Copies may remain in encrypted backups for up to 30 more days. Supabase keeps daily backups for 7 days, and Soul Dose™ keeps its own encrypted backup copies on equipment under its control for 30 days. Backups are used only to restore the Service after a failure, and if a backup is ever restored, we delete again any account that was deleted before the restore. Within 60 days after you delete your account, your information is gone from every backup. When you delete your account, we also remove your email address from our marketing list. We keep information beyond that point only where the law requires it.

7. Security

We use reasonable administrative and technical measures to protect personal information, including access controls, encryption in transit provided by our infrastructure providers, and encryption of our backup copies. Sign-in does not use passwords, which removes the risk of a reused or stolen password. No system is completely secure, and we cannot promise absolute security.

8. Your Privacy Choices and Rights

You can access or update your account information by signing in. You can delete your account from your account page, or request deletion by contacting us at privacy@souldose.ai. Depending on where you live and how you use the Service, you may have rights under state privacy law to access, correct, delete, or receive a copy of your personal information, and you may make a request at privacy@souldose.ai. We will respond as the applicable law requires. Deletion from backups follows the schedule in Section 6. You can unsubscribe from marketing email at any time through the link in any marketing email or by writing to support@souldose.ai, and we will process your request within 10 business days. Unsubscribing does not stop sign-in links, receipts, or other account email.

9. Children

The Service is intended for adults and is not directed to children. The Service is intended for people 18 and older. We do not knowingly collect personal information from children under 13. If we learn that we collected information from a child under 13, we will delete it.

10. Cookies, Analytics, and Advertising

The Service may use cookies and similar technologies that are needed to sign you in and keep the Service working. Soul Dose™ does not sell or share your personal information, and does not use your personal information for targeted advertising. If the Service adds analytics or advertising tools, this policy will be updated to describe them and your choices.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy with a new date. For a material change, we will give notice to the email address on your account at least 14 days before the change takes effect.
